1. Introduction

This notice provides additional privacy information regarding booking camping at Bents Park over The Great North Run weekend.

We will keep our privacy notice under regular review and will advise you of any updates on our website.

This Notice was last reviewed in February 2024 .

2. Who we are

For the purposes of Data Protection legislation, South Tyneside Council is the Data Controller.

3. What type of personal information do we collect?

We may collect the following types of personal information:

  • Name
  • Address
  • Telephone number
  • Email address
  • Payment details

4. How do we collect your personal information?

We may collect your personal information in a number of ways, for example:

  • Email
  • Telephone calls
  • Online forms

5. Why do we collect your personal information?

We require contact details in order to process your booking. We will use the information to contact you about your booking if required.

We may use your information to contact you for feedback on your booking and camping experience, and to email you a link to the booking form the following year. We will only do this if you provide your consent at the point of booking. You can withdraw your consent at any time by contacting events@southtyneside.gov.uk.

Address information is solely used to track and ascertain how far campers are travelling to camp at Bents Park and when they may be setting off in case any untoward circumstances arise.

We will not retain your payment details.

6. Who might we share your personal information with?

Payment details online will be taken and processed by Civica. If we take any payments over the phone we will share the payment details with Civica. We will not retain your payment details.

We will not share any other personal information with any other third parties unless you have specifically asked us to, or if we have a legal obligation to do so.

7. How long will we keep your personal information?

We will hold your personal information for one year and use it to contact you about your booking if required.

If you request to defer your booking to the following year, we will be required to retain your information for an additional year for the purpose of the booking.

8. What is our legal basis for using your personal information?

To use your personal information there must be a lawful basis to do this, such as, through a contract, performing a public task or where there is a legal obligation. 

Under the General Data Protection Regulation (GDPR), the lawful basis we rely on for processing this information are:

(a) Your consent. You are able to remove your consent at any time. You can do this by contacting events@southtyneside.gov.uk.

9. How do we keep your personal information secure?

Information provided to the Events Team is stored on a secure database.

Only officers working within the Events Team and system administrators have access to these records.

10. Is your personal information used overseas?

We will not process your personal information outside of the European Economic Area (EEA).

11. What are your rights?

Your individual rights are set out in law. Subject to some legal exemptions, you have the following rights:
