Outdoor service privacy notice

1. Introduction

This notice provides additional privacy information regarding Thurston Outdoor Education Centre and Simonside Outdoor Adventure.

We will keep our privacy notice under regular review and will advise you of any updates on our website.

2. Who we are

Both Thurston OEC and Simonside OA are, for the purposes of Data Protection legislation, South Tyneside Council, therefore the council is the Data Controller.

3. What type of personal information do we collect?

We may collect the following types of personal information:

Email address
Next of Kin / Emergency Contact details
Date of Birth
Sex
Medical information including GP address
I.P address

4. How do we collect personal information?

We may collect your personal information in a number of ways, for example:

In person
In writing - for example letter or email
Telephone calls
Online forms
Family members acting on your behalf

5. Why do we collect your personal information?

Information is collected to ensure the centre and staff are suitably informed about relevant medical conditions that may impact your programme or be relevant to your care in the event of an emergency.

6. Who might we share your personal information with?

The staff delivering your course or in the event of an emergency medical staff and professional administering care.

We will not share your personal information with any other third parties unless you have specifically asked us to, or if we have a legal obligation to do so.

7. How long will we keep your personal information?

We will hold personal information for the relevant time as per legal obligations to do so.

For adult groups this will be for 6 years after the date of the programme. For children and young people this will be until they are 25 years of age or, for looked after children and young people until they are 99 years of age.

8. What is our legal basis for using your personal information?

To use your personal information there must be a lawful basis to do this, such as, through a contract, performing a public task or where there is a legal obligation.

Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:

(a) Your consent. You are able to remove your consent at any time. You can do this by contacting the relevant centre; Thurston OEC (01539441218) or Simonside OA (019142400118)

(b) We have a contractual obligation.

9. How do we keep your personal information secure?

Provide explanation of how data is kept secure.

For example, information provided to us is held on a secure network. Only staff working within the Outdoor Service or administrative staff will have access to these records.

10. Is your personal information used overseas?

Your personal information is not used overseas unless it is relevant to your programme.

We will not process your personal information outside of the European Economic Area (EEA).

11. What are your rights?

Your individual rights are set out in law. Subject to some legal exemptions, you have the following rights:
