1. Introduction

This privacy notice tells you about what information we collect about you, how we use that information and who we share it with.

We will keep our privacy notice under regular review and will advise you of any updates via email.

2. Who we are

For the purposes of Data Protection legislation, South Tyneside Council is the Data Controller. 

This notice tells you how South Tyneside Council may use your information to deliver our Young Health Ambassadors programme.

3. What type of personal information do we collect?

We may collect the following types of personal information:

  • Name
  • Address
  • Date of Birth
  • Gender identity
  • Cultural identity
  • School (if attending)
  • Telephone number
  • Email address
  • Any specific social, medical or dietary requirements you may have
  • Name and contact details of the adult you live with

4. How do we collect personal information?

We may collect your personal information in a number of ways, for example:

  • In person
  • In writing - for example letter or email
  • Telephone calls
  • Online forms
  • Referrals from other services

5. Why do we collect your personal information?

We collect your personal information to allow us to provide services to you and the wider community in accordance with the Young Health Ambassador project.  This includes, but is not limited to:

  • Sharing of information with you via email, text message, phone calls and / or post in relation to planned activities.
  • To enable us to comply with our legal obligations around equality, safety, risk management and safeguarding.
  • To enable us to protect your vital interests or those of another person.
  • For the purpose of our legitimate interest.

6. Who might we share your personal information with?

We will not share your personal information with any other third parties unless you have specifically given us permission to, or if we have a legal obligation to do so (for example, your details may be shared with third party organisations if we believe you may be at risk of harm, or you pose risk of harm to someone else - we will always discuss this with you first).

7. How long will we keep your personal information?

We will hold your personal information for as long as you are part of South Tyneside Young Health Ambassadors, after this time your information will be deleted, unless you are engaged in further work with the Council.

8. What is our legal basis for using your personal information?

To use your personal information there must be a lawful basis to do this, such as, through a contract, performing a public task or where there is a legal obligation. 

Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:

(a)    Your consent.  You are able to remove your consent at any time.

(b)    We have a legal obligation.

(c)    We need it to perform a public task.

(d)    We have a legitimate interest.

9. How do we keep your personal information secure?

The security of your personal information is important to us.  Information provided is held securely on our network. 

The Council have a range of procedures, polices and systems to ensure that access to your records are controlled appropriately. 

Only specific officers working within South Tyneside Young Health Ambassadors have access to these records.

10. Is your personal information used overseas?

We will not process your personal information outside of the UK.

We will not process your personal information outside of the European Economic Area (EEA).

11. What are your rights?

Your individual rights are set out in law.  Subject to some legal exemptions, you have the following rights:

  • Right to be informed
  • Right of access
  • Right to rectification
  • Right to erasure
  • Right to restrict processing
  • Right to data portability
  • Right to object
  • Rights in relating to automated decision making and profiling
