Privacy notice: Holiday Activity and Food Programme

1. Introduction

This notice provides additional privacy information regarding the Holiday Activity and Food Programme.

We will keep our privacy notice under regular review and will advise you of any updates on our website.

2. Who we are

For the purposes of Data Protection legislation, South Tyneside Council is the Data Controller.

3. What type of personal information do we collect?

We may collect the following types of personal information:

Name
Telephone number
Email address
Dietary requirements
Health conditions
If you are a young person (or purchasing a ticket for a young person):
Free school meal eligibility
What school the young person attends
Whether the young person has a special educational need and / or disability

4. How do we collect personal information?

We may collect your personal information when you book up for an event through Eventbrite.

5. Why do we collect your personal information?

We're collecting your personal information so that our event providers can accommodate any special requirements that you may have on the day of your attendance.

As part of the Holiday Activity and Food Programme we are required to provide reporting back to the Department for Education which covers the mandatory fields on the Eventbrite booking form.

6. Who might we share your personal information with?

We will share your information with the event providers that you book up for a place with.

We will not share your personal information with any other third parties unless you have specifically asked us to, or if we have a legal obligation to do so.

7. How long will we keep your personal information?

We will keep your personal data for until we need to report to the DfE on the outcome of the programme, which is expected to be October 2021.

8. What is our legal basis for using your personal information?

To use your personal information there must be a lawful basis to do this, such as, through a contract, performing a public task or where there is a legal obligation.

Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:

(a) Your consent. You are able to remove your consent at any time. You can do this by reviewing your account access with Eventbrite.

9. How do we keep your personal information secure?

We will download your information from Eventbrite and hold it securely on our network.

10. Is your personal information used overseas?
